This policy describes how Bookey Pro Inc. (“Bookey”, “we”) collects and uses information when you use the Bookey website, the Bookey Android app (com.bookeypro.app), and related services. It applies to the product at https://bookeypro.com. Use of Bookey is also governed by our terms of service.

What Bookey is

Bookey helps a business capture receipts, review extracted bookkeeping fields, post expenses to QuickBooks Online, and ask questions about its own books. Billing for Bookey subscriptions stays on the website. The Android app does not sell in-app purchases.

Information we collect

• Account. Name, email address, password (stored hashed, when you set one), organization membership and role. If you use Google or Apple to sign in, we store the provider’s user id so we can recognize you next time.
• Receipts. Images or PDFs you upload or capture, plus fields we extract or you edit (vendor, amounts, tax, dates, category, and similar bookkeeping data).
• Camera and photos (Android app). The app uses the camera and photo library only when you choose to capture or pick a receipt. We do not access your library in the background.
• QuickBooks. If you connect QuickBooks Online, we store OAuth tokens on our servers and record identifiers for purchases and bank-match status so we can post and sync on your behalf.
• Usage that we need to run the service. Sign-in times, approximate IP for security, job/progress status, and similar operational logs. We do not use advertising SDKs or sell your data.

How we use it

We use this information to operate your Bookey workspace: authenticate you, process receipts, show the review queue and overview, post to QuickBooks when you ask, send transactional email (verification, invites, password reset), and provide Insights/Ops answers about your organization’s data. We do not use receipt images or books for advertising.

Who else sees it

• Google (sign-in and Gemini). If you tap Sign in with Google, Google authenticates you and shares your name and verified email. Receipt images and related text are sent to Google’s Gemini API to extract fields and to power Insights when you use that feature. Google processes that data under its API terms.
• Apple (sign-in). If you tap Continue with Apple, Apple authenticates you and may share your name and email (or an Apple private relay address).
• Intuit (QuickBooks Online). When you connect and post, expense data is sent to your QuickBooks company. Intuit’s privacy policy applies to data in QuickBooks.
• Email delivery (Resend). We send transactional mail (verification, invites, password reset) through our email provider.
• Hosting. Data is stored on servers we operate for Bookey. Each organization’s receipts and QuickBooks connection stay in that organization’s account. Other Bookey customers cannot see them.

We do not sell personal information. We do not share it for cross-app advertising.

Retention and deletion

We keep account and receipt data while the organization uses Bookey, and as needed for security, tax/bookkeeping history you asked us to store, and legal obligations. You can request that we delete your account and associated data. Data already posted to QuickBooks remains in your Intuit company until you change it there.

Your choices

You can access and correct receipt fields in Bookey, disconnect QuickBooks in settings, and sign out. You can refuse camera or photo permission; you will not be able to capture or pick receipts in the app until you allow it. You may request a copy or deletion of personal information we hold by contacting us.

Children

Bookey is a business bookkeeping product. It is not directed at children under 13, and we do not knowingly collect personal information from children.

Location

Bookey Pro Inc. is a Canadian company. Information may be processed in Canada and in other countries where our processors (including Google and Intuit) operate.

Changes

If we change this policy in a material way, we will update this page and the effective date. Continued use of Bookey after that date means you accept the updated policy.
